Every successful company knows the importance of getting timely employee input. But, if yours is a company of any substantial size, you realize that it can be a logistical nightmare printing and distributing a paper survey and then of course, compiling the data as it comes in. Traditionally this method suffers from low response rates, slow turnaround, and is most definitely more expensive than the alternatives.
Such was the case for a major banking chain for their locations in Texas. The standard practice for years was to distribute a paper survey to all of the nearly 4000 Texas employees throughout the state. Upon completion, the surveys were gathered at the various banking centers and ultimately forwarded to one location for data-entry and report generation. The whole process from start to finish took six months! So much time had passed that most of the employees couldn't remember completing the survey, and worse yet, they really weren't that interested in the results. Here's the IVRI solution! The manager in charge of the project found out that the payroll department could adhere a brightly colored label to the pay envelopes that were distributed every two weeks. Employees were invited to give their input and for doing so they were entering into a drawing for a $25 gift certificate. A relatively short time frame (6 days) was established for employees to participate. When the employees call, they are asked to enter their employee ID for official entry into the sweepstakes. Our extremely user-friendly interactive call center instructs the caller though the entire process, repeating questions when no response is given and prompting them on invalid responses. An infinite number of question branches, skip patterns, and triggers can be programmed into the script. Callers are also able to leave voice messages which can be accessed at any time by managers or other authorized personnel for review through our MyVoice message retrieval system. At the conclusion of the call, the responses are automatically written to the database which eliminates all data-entry or scanning costs. The end result was a response rate that was more than double the rate received previously through paper surveys. Cost of the project came in 35% less than before and, most importantly, the whole project from start to end was less than 3 weeks.
